This policy explains what personal data we collect, why we use it, who we share it with, how long we keep it and the rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What we collect

Contact and delivery details: your name, email address, phone number, billing and delivery addresses. Order details: the products you buy, return or cancel, and your order history. Payment details: payments are handled by our payment providers; we see the payment method and transaction status but never your full card number. Account details: if you create an account, your login details and preferences. Messages: anything you send us when you contact customer service. Device and usage information: your IP address, browser, device and how you use our website, collected through cookies and similar technologies.

Why we use it, and our legal basis

To process and deliver your order, handle returns and refunds, and provide customer service: this is necessary to perform our contract with you. To prevent fraud and keep our website secure, and to understand and improve how our website works: this is in our legitimate interests. To keep financial and tax records: this is a legal obligation. To send you marketing emails and to use advertising cookies: we only do this with your consent, and you can withdraw consent at any time by using the unsubscribe link in any email or changing your cookie choices.

Who we share it with

We share personal information only with service providers who help us run the store, and only as much as they need: Shopify (our e-commerce platform and website host), our payment providers (Shopify Payments, Klarna and the card networks), our fulfilment partners and delivery carriers, such as Royal Mail in the UK and the postal service or courier in your country (to pack and deliver your order), our order-tracking provider, our email service provider, and, where you have consented, advertising and analytics providers such as Google, Meta and Microsoft Clarity. We may also share information where the law requires it, for example with HMRC or the police, or if the business is sold. We never sell your personal information.

International transfers

Some of our providers, and our fulfilment partners, are located outside the UK. Where your information is transferred outside the UK, we make sure it is protected by a UK adequacy decision, the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

How long we keep it

Order and payment records: 6 years after the end of the financial year in which you ordered, to meet UK tax and accounting rules. Customer service messages: up to 2 years after we resolve your query. Account details: until you close your account, or after 3 years without activity. Marketing preferences: until you unsubscribe, after which we keep a record that you opted out. Cookie data: for the periods set out in our cookie settings.

Cookies

We use essential cookies to make the store work, such as your basket and checkout. With your consent, we also use analytics and advertising cookies to understand how the website is used and to show you relevant adverts. You can accept or reject non-essential cookies in our cookie settings at any time.

Your rights

Under UK data protection law you have the right to: access the personal information we hold about you; ask us to correct it; ask us to delete it; ask us to restrict or object to how we use it, including objecting to direct marketing at any time; receive a copy of it in a portable format; and withdraw your consent where we rely on consent. To use any of these rights, email support@ashbypine.com. We will reply within one month. We may need to confirm your identity first.

Children

Our store is not intended for children under 18 and we do not knowingly collect their personal information.

Security

Our website uses encrypted (HTTPS) connections and payments are processed by PCI-compliant providers. We limit access to personal information to the people and providers who need it.

Complaints

If you have a concern about how we handle your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113.
